Terms and Conditions

Amateur Category

Open to amateur photographers only; free entry. All entrants are deemed to have accepted these rules and agreed to be bound by them.

The categories

1) There are four categories in the Amateur competition:

 (i) People (ii) Wildlife (iii) Landscape (iv) Active Travel (dedicated to the very act of travelling).

2)  You may enter up to four photos IN TOTAL. This can be across all categories or within selected categories (eg, four shots in one category OR two shots in one, two in another OR one in each, etc). One submission per individual; multiple entries will be disqualified.

Online entries

You can submit photos to the competition for free at www.travelphotooftheyear.co.uk.

Here’s how:

1) Save your images as JPEGs with a max file size of 1MB. If your image is shortlisted, we will request a higher-res copy.

2) Go to www.travelphotooftheyear.co.uk and click on the link to ‘Enter here’.

3) Fill out your details in the top half of the page, making sure you include your contact details.

4) Decide whether you’re entering the Amateur or Portfolio competition, or both. There is no entry fee for the Amateur competition, but there is a £10 fee for entering the Portfolio competition.

5) Upload your selected images in the correct areas, providing a caption, description and category.

6) Agree to the terms and conditions, and state whether you’d like a free pass (for two people) to the London or Manchester Destinations Shows at the bottom of the page.

7) Click ‘Submit’ and you’re all done! Shortlisted photographers will be contacted in Dec 2017.

Postal entries

You can also submit prints, transparencies and digital images by post. Here’s how:

1) Postal entries must be accompanied by an entry form (download here). Photocopies are acceptable.

2) A separate sheet must also accompany each entry, with the entrant’s name and a brief caption (subject, location) for each photo.

3) Entries will be retained until after judging in Feb 2018.

4) If you’re submitting prints, mark the photographer’s name on the back (on a label, not directly on the print).

5) If you’re submitting transparencies, mark the photographer’s name on the mount. Duplicates can be sent. The original must be available. Picture orientation should be shown by a dot on the front, bottom-left corner.

6) Prints from digital originals: include a CD (ISO cross-platform Mac/PC) with the original JPEG or RAW files, with all metadata intact. These may be used to check that any alterations made are within our rules. CDs must be clearly labelled with the photographer’s name.

7) Do not send negatives – they will be requested if needed.

8) Only entries accompanied by an adequately stamped SAE (stiffened/padded) large enough to carry the photo will be returned. All others will be disposed of after judging. International subscribers who want their images to be returned should determine the postage cost from the UK (see www.royalmail.com – following the link to Postal Prices and Airmail). Include an SAE and send a cheque, in sterling (drawn from a UK bank), or an international money order, for the cost of the return postage, made payable to Wanderlust Publications Ltd.

9) Please tick the box on the form if you’d prefer not to be contacted by Wanderlust or the sponsors.

General entry guidelines

1)  Each entry must reflect the theme of travel and be suitable for its category.

2) Images must be sufficiently high resolution to be printed, without loss of quality, to A3 exhibition standard – therefore your image must be A3. As a guideline, your camera will need to be 6MP+ and the image will need to be A3 proportion ideally at a minimum of 300dpi.

3) Minor digital adjustments are allowed, such as levels, curves, contrast, colour, saturation, sharpening and cropping. However, we are interested in shots that capture the moment, not ones that create it, so the image must still be a faithful representation of the original scene. Composite and multiple exposures are NOT allowed, nor the adding or removing of subjects into or from the image. Some basic cropping is allowed, but the crop and resolution must still be appropriate for an A3 exhibition print.

4) Black-and-white images may be shot in colour and de-saturated, then have a duotone or sepia tone applied. These pictures will be judged on their merits.

5) Originals of all entries must be available on request.

6) By entering this promotion and ticking to accept the competition terms and conditions, you accept that Four Communications on behalf of Instituto Costarricense de Turismo (the promoter) and the individual prize partner (Berghaus) may use your name for their promotional and publicity purposes, without the payment of any fee, nor the requirement for prior notification or permissions. You also accept that by entering this promotion, that you will automatically be subscribed to future communications by the promoter and individual prize partners, however you may unsubscribe from each company's communications at any time.

Rules & restrictions

1) Photos that have previously won competitions with a prize exceeding £100 cannot be entered.

2) Employees of Wanderlust, Costa Rica Tourist Board, Nikon, Clarion Events, any additional POTY partners, and regular Wanderlust contributors are excluded.

3) Professional photographers are excluded, being defined as any individuals whose primary source of income is from the sale of photos, or who gain part- or full-time employment as a photojournalist.

4) Exclusions: prints larger than A4 (300mm x 210mm); transparencies with glass mounts; entries submitted in tubes; photos that have been manipulated digitally outside of our stated guidelines.

5) The organisers take no responsibility for loss, delay or damage to photos. Entries at photographer’s risk.

is not responsible for any technical issues (or other) which impede an entrants' entry being submitted correctly and/or in full.  The promoter is not responsible for any changes in e-mail, mailing address and /or telephone numbers provided at time of entering the prize draw. The promoter is in no way liable for the reproduction or indirect access via third party web site or home page access which reproduction misstates or omits any of the information or terms and conditions connected with the promotion

7) The closing date is 15 November 2017.

Prizes & awards

1) Up to ten entries in each category will be displayed for judging at Destinations 2018.

2) The category winners will win a photo commission to Costa Rica thanks to the Costa Rica Tourist Board. Each category winner can bring a friend of their choosing. The prize includes:

• 8 nights accommodation in Costa Rica across various cities on a B&B basis, double room: San Jose (x 2 nights – first and last night); Manuel Antonio (x 2 nights); Monteverde (x 1 night); La Fortuna (x 2 nights); Sarapiqui (x 1 night)

• Return economy class flights for two from London to San Jose
• All lunches and dinners each day
• All internal transfers 
• Tours to the following: San Jose City Tour; Manuel Antonio National Park; Catamaran Tour; Visit to Hanging Bridges; Cheese Tour; Visit to Monteverde Reserve; Sky Trek Adventure Park & Hot Springs; Hike to Arenal Volcano National Park; Visit to Cerro Chato; Rafting on Sarapiqui River; Cacao Tour; Visit Hacienda Pozo Azul

• £500 worth of Berghaus vouchers.

3) The prize does not include: UK airport transfers; Food and beverages not specifically mentioned in the itinerary; Spending money; Any other excursions, travel, accommodation, attractions or tips not outlined in the itinerary; Any other personal or medical costs; Travel insurance and visas; Airline Taxes.

4) All trips will originate from the UK and the winner is responsible for making their way to the departure airport and for arranging any necessary visas, insurances and vaccinations. Entrant must meet and provide own valid visa and entry requirements to Costa Rica Tourist Board. Black out dates will apply.

5) The prize winner, and their travelling companion, must travel together (on both outbound / inbound flights). Both must be over 18 years of age. Both must hold a passport valid for 6 months from date of return, and be eligible for a visa for travel to Costa Rica. Travel insurance is NOT included in the prize, and prize winners must obtain travel insurance for their trip, pre-departure. It is strongly advised that you take out travel insurance for the relevant period.

6) The Promotor (Four Communications on behalf of Instituto Costarricense de Turismo), nor any other person or party associated with this promotion shall be liable for any loss or damage whatsoever suffered (including, but not limited to, indirect or consequential loss or damage) or personal injury suffered or sustained in connection with either participation in this promotion or with any prizes offered.

7) The prize promoter (Four Communications on behalf of Instituto Costarricense de Turismo) and prize partners do not take any responsibility for any liabilities, nor do they take any responsibility for any disappointment, injury or loss incurred by the prize winner from accepting the prize or participating in the promotion.

8) The promoter (Four Communications on behalf of Instituto Costarricense de Turismo) reserves the right to cancel or amend the terms of this prize and without notice in the unlikely event of a major catastrophe, war, earthquake or any actual, anticipated or alleged breach of any applicable law or regulation or any similar event or if circumstances arise outside of its control.

9) Participants must be over 18.

10) Our ‘runners up’ entrants across the amateur categories will receive a Nikon KeyMission 360.

11) Our ‘highly commended’ entrants across the amateur categories will receive a Nikon camera.

12) No alternative prizes are available.

13) Each postal entry including a further SAE will receive a free pass for two people to Destinations 2018.

14) Winners will be announced at Destinations 2018, London (except the winner of the Destinations visitor vote, which will be announced at a later date)

15) Prize-winning and commended photos may be reproduced free of charge in both Wanderlust and any subsequent media partners, including their websites, and may be used by any of the sponsors and organisers of the exhibition, without payment, in direct promotional material related to the competition and exhibition only.

16) Copyright of entered photos remains with the photographer in its entirety. However, the photographer grants the organisers and sponsors non-exclusive rights to free production and exhibition of prize-winning and commended entries but only in direct promotion of and publicity for this competition for up to five years. Where possible, credit will be given. Photos cannot be sold by any third party without the photographer’s permission.

17) The photographer also grants the organisers and sponsors non-exclusive rights to use any submitted photo in direct promotion of and publicity for this competition during the period for which entries are being accepted. Where possible, credit will be given. Such use of a submitted photo does not in any way imply that the photo will be shortlisted by the panel of judges.

18) There may be opportunities for winning photographers to benefit from the commercial use of their image but they will always be contacted first to obtain their permission.

19) Winners retain copyright and ownership of photos taken on the commission. Wanderlust and any subsequent media partners may use any of the photos taken on the commission, without payment, for related Travel Photo of the Year follow-up features. Costa Rica Tourist Board will also be granted free use of the photos taken on the commission for promotional purposes; this could include brochures, social media, advertising and third-party brochures. Each winner will be required to provide a minimum of five photos for this use.

20) The submitted photographs may be published in issues of the Wanderlust Travel Photo Of The Year book. Copyright of the photos will remain with the photographer and the photographer will be credited. Copyright of the book will remain with Wanderlust Publications Ltd.

21) Prizes and winning trip itineraries may be subject to change.

Portfolio Category

Open to amateur or professional photographers; £10 entry.

Categories

1) There are four categories in the Portfolio competition: (i) People (ii) Wildlife (iii) Landscape (iv) Active Travel (dedicated to the very act of travelling).

2) The portfolio must be themed and reflect one of the categories. The images must work together to create a cohesive portfolio. Pictures will be judged independently and as a set.

3) Each submission must consist of a portfolio of five photos in total. Only one entry per individual is allowed – multiple entries will result in disqualification.

Online entries

You can submit photos to the competition at www.travelphotooftheyear.co.uk. Here’s how:

1) Save your images as JPEGs with a max file size of 1MB. If your image is shortlisted, we will request a higher-res copy.

2) Acceptable formats: colour or black & white prints from negatives; colour or black & white transparencies (duplicates can be sent providing originals are also available); digital images can be submitted as prints with the original RAW file or JPEG (with all metadata intact) supplied on a CD. Images must be sufficiently high resolution to be

printed, without loss of quality, to A3 exhibition standard therefore your image must be A3 proportion ideally at a minimum of 300dpi. As a guideline, your camera will need to be 6MP or higher.

5) The organisers and sponsors take no responsibility for loss, delay or damage to any photos submitted. 

6) The closing date is 15 November 2017.

Prizes & awards

1) A shortlist of entries will be exhibited at Destinations 2018.

2) The photographer of the Portfolio deemed by the judges to be the overall winner of the Portfolio category will be awarded £3,000.

3) One ‘runner up’ entrant will receive a Nikon KeyMission 360.

4) One ‘highly commended’ entrant will receive a Nikon camera

5) No alternative prizes are available.

6) Each postal entry that includes a further SAE will receive a free pass for two people to Destinations 2018.

7) Winners announced at Destinations 2018, London.

8) The judges reserve the right to edit a portfolio submission by removing one image of the five if they feel it necessary to strengthen the overall quality of the entry.

9) Should the judges consider that the quality of entries falls below the standard required they reserve the right not to award prizes.

10) The judges’ decision will be final – no correspondence will be entered into.

11) Prize-winning and commended photos may be reproduced free of charge in both Wanderlust and any subsequent media partners, including their websites, and may be used by any of the sponsors and organisers of the exhibition, without charge, in direct promotional material related to the competition and exhibition only.

12) Copyright of entered photos remains with the photographer in its entirety. However, the photographer grants the organisers and sponsors non-exclusive rights to free production and exhibition of prize-winning and commended entries but only in direct promotion of and publicity for this competition for up to 5 years. Credits will be given. Photos cannot be sold by any third party without the express permission of the photographer.

13) There may be opportunities for winning photographers to benefit from the commercial use of their image on merchandise but they will always be contacted first to obtain their permission and terms will be agreed.
